Thank you for exhibiting at the Associations North 2018 Solutions Conference with Annual Meeting & Expo. Below are important details to help you plan ahead and make this a successful trade show. Please review this page in its entirety and let us know if you have any questions.

THEME & COLORS:

This year's theme is SOLUTIONS!

Help association members find solutions - what challenge does your organization help associations solve? This year's conference will focus on finding solutions: at the trade show, in-depth workshops, Mind Dash conversations, Ask the Experts, and more!

New this year! Attendees are encouraged to bring RFPs - as a special thank you, attendees will be entered into a drawing for a $250 Visa Gift Card (exhibitors to provide ticket for each RFP received).

BOOTH INFORMATION:

Open Concept Booths Include:

 ** NO displays above 4', pop up banners okay (max 40" wide)

  • One-6’ deep x 10’ wide booth
  • 3' high back drape, NO side rail (sides taped during set up)
  • One-chair or high stool and one-4’ draped table (upgrade to 40" pedestal table for $40 or flat-front/curved counter for $150); a chair will be provided, exhibitors may exchange the chair for a stool on-site (at the Brede booth)
  • Grab-and-go meals and educational sessions for ONE* person (may pay to add up to two additional exhibitors)
  • Sign with company name
  • Listing in conference program
  • Attendee roster

Perimeter Booths Include:

  • One-6’ deep x 10’ wide booth
  • 8' high back drape, 3' wide side rail
  • One-chair and one-6’ draped table
  • Grab-and-go meals and educational sessions for ONE* person (may pay to add up to two additional exhibitors)
  • Sign with company name
  • Listing in conference program
  • Attendee roster

Curved Booths Include:

** Nothing (velcro, tape, etc.) may be attached to fabric back wall

  • One-6’ deep x 10’ wide curved space
  • 10' high curved fabric back wall, NO side rail (sides taped during set up)
  • One-high stool and one-40" pedestal table
  • Grab-and-go meals and educational sessions for ONE* person (may pay to add up to two additional exhibitors)
  • Sign with company name
  • Listing in conference program
  • Attendee roster

Charging Station Booths Include: 

  • One-12’ x 16’ space with custom branded charging station booth
  • Grab-and-go meals and educational sessions for THREE* individuals (may pay to add up to three additional exhibitors allowed @ $150 each)
  • Listing in conference program
  • Attendee roster

* Registration fee includes booth space, education sessions, grab-and-go meals (purposefully timed food and beverage opportunities throughout the day to provide energy every couple hours) and reception for one person (three individuals for charging station). A fee of $150 ($175 after June 1) is required for additional individuals in the booth (limit three staff for open layout/perimeter/curved booths; six staff for charging station booths), even if they are attending the trade show only. If you’d like to register additional attendees for your booth, contact Chris at Associations North by June 1. After June 1, name changes and new registrations should be handled on-site.

TRADE SHOW HOURS

The trade show will be open from 12:00 pm - 2:30 pm. We encourage you to attend the full day of events – all education sessions, grab-and-go meals and reception at Mystic Lake Center. This is a great time to network with current and potential clients.

During this time, attendees may visit the exhibitor booths, enjoy grab-and-go meals, participate in the AMS Speed Shop (1:00 pm - 2:00 pm) and Mind Dash Conversations (pop-up conversations approximately every 30-minutes). 

EXHIBITOR SET UP, LOAD IN & TEAR DOWN

All exhibits must be set up by 10:00 am on Wednesday, June 13 and removed by 6:00 pm on Wednesday, June 13.

EXHIBITORS ARE ENCOURAGED TO SET UP ON TUESDAY, JUNE 12 FROM 2:00 PM - 6:00 PM; you may also set up on June 13 from 7:00 am - 10:00 am.

Move-in and move-out is through the North Entrance at Mystic Lake Center; download map here. Please unload quickly, move your vehicle, then set up.  Exhibitors may bring your own carts as long as the wheels are neoprene.

Exhibitors will not need a name badge to set up your booth on Tuesday. On Wednesday, please check in at EXHIBITOR REGISTRATION to receive your name badge/conference materials (required to enter trade show hall) and then set up and/or participate in the full day of activities. 

Exhibits may be torn down starting at 3:00 pm and should be removed no later than 6:00 pm.

EXHIBITOR STAFF

EVERY PERSON IN THE BOOTH NEEDS TO REGISTER TO ATTEND ($150 for additional staff, $175 after June 1 - max three individuals in an open concept/perimeter/curved booth and six individuals in charging station booths). Please be sure to register or notify Associations North of every individual participating in the booth by June 1. After June 1, registrations will be handled on site. ATTENDEES

We're expecting 250+ association professionals to attend the conference. An attendee roster will be provided at set up. 

NEW THIS YEAR! Attendees are encouraged to bring RFPs (could be for a meeting, strategic facilitator, promotional product, or other service/project). We will provide drawing tickets for exhibitors to give out to attendees that bring an RFP. One lucky winner will win a $250 Visa gift card. 

FOOD / BEVERAGE SAMPLING POLICIES

Mystic Lake Center retains the exclusive right to provide, control and retain all food and beverage services throughout the facility. Sample size food packages okay, no drinks allowed. Questions? Contact Jennifer at 952.496.7128 or via email

Complimentary wireless internet is available (charge for wired internet). An internet hardline connection is $300 per day, or dedicated wireless it is $640 per day. To order, add to the order form above.

DECORATOR / BOOTH FURNISHINGS

Brede Exposition Services is the official service contractor for the Expo trade show. If you have questions about booth set up, require additional equipment or services (carpet, furniture, custom booths, signs, etc.), contact Sharon Sandvik at 612-378-6522 or email. Download Order Form.

The exhibit hall is carpeted.

DOOR PRIZES – Reply by June 1

All exhibitors are encouraged to offer a door prize drawing at your booth. Prizes will be listed in the program (if the door prize form is returned to Associations North by Friday, June 1). Bring your door prize to the conference. It is your responsibility to collect business cards, select a winner and post on the Associations North door prize board (by 2:15 pm). Associations North will provide a velcro door prize winner card. Additional slips will be available at registration and drawing board if needed. Attendees can pick up their prizes at the conclusion of the trade show (2:15 pm – 2:30 pm). If the winner does not pick up their prize, please follow up with them after the conference.

BAG INSERTS - Send by June 1

Sign up to provide a bag insert for $150 and get your company noticed by each attendee. To participate, contact Sarah at 651-647-6388 and drop off or mail 225 (attendees only) or 350 (attendees and exhibitors) copies of your insert to the Associations North office by Friday, June 1. Inserts can be one page (8.5" x 11") front and back, a small trinket or similar size item. Questions? Ask Sarah at 651-647-6388.

ASSOCIATION MAILING LABELS

Association mailing labels (one-time use) are available for $50. Use this opportunity to promote your company at the trade show and encourage attendees to visit your booth. If you haven’t already signed up for labels and would like to send out a postcard or mailing before the event, contact Chris at 651-647-6388.

Labels (printed and mailed to you or sent via email with an excel spreadsheet) are provided with all association professional members (approximately 900 names – no vendors, cvbs or consultants). You can also request all Associations North members (about 1,190 names - includes vendors, cvbs and consultant members) or primary/secondary members at associations only (around 325 names). EXHIBITOR AWARDS

The creativity of our exhibitors never ceases to amaze us. For the 18th year, attendees will vote for Best Booth during the trade show. The winner will receive a traveling trophy to showcase at their office until next year's conference. Best Booth will be given out after the Annual Meeting Game Show & Content Weaver at 3:45 pm.

LODGING

Rooms are being held at Mystic Lake Casino Hotel Tuesday and Wednesday night for $99/night + tax: Make Your Reservation Online.

LIABILITY

It is mutually agreed that Associations North, Brede Exposition Services and Mystic Lake Center shall not be liable to an exhibitor for any damage to or for the loss or destruction of an exhibit or the property of an exhibitor or injuries resulting from any cause. All claims for any such loss, damage, or injury are expressly waived by the exhibitor.

CANCELLATIONS

Exhibitors who cancel after May 11, 2018 will not be eligible for a refund, regardless of situation or circumstance.
